Coordinating Team Meeting Minutes

Coordinating Team Business
- Approving agenda: Agenda approved, with clarifications.
- January minutes: Read and approved. Desire expressed for meeting decisions to be easily reflected in future minutes.
- Financial Report, including Local Food Group donation:
Bank balance is $348.29. A $50 donation has been received and not yet deposited, earmarked for work the Local Food Group is doing at Bethlehem House.
A long conversation ensued after which we reached unanimous consent on the following proposals:
1) We can provide a menu of services to groups working on particular actions with regard to sustainability in Faulkner County. One of the services we are glad to provide is that of a simple bank for earmarked funds.
2) We choose to offer the service of acting as a bank for the Local Food Group of FCSSC, which Cliff and Mary Beacham oversee.
3) Phillip Liggett will act as Treasurer for FCSSC. Cecilia will provide him with a Quicken program to set up a financial system. Pamela will make an address change at the bank so the statements go to Phillip.
It was also noted that:
FCSSC will benefit from and appreciate the publicity that the Local Food Group will likely generate at its 2/28 event at Bethlehem House
Further discussion is needed as we continue to explore what additional services we have to offer such sustainability action groups.
Fund-raising is an area we have yet to explore
- 501(c)3 status report
Joe has looked over the lengthy legal document regarding requirements for non-profit status and recommended that we add a standard dissolution clause to our bylaws (what we’ve been referring to as our Management Document).
We agreed by mutual consent to add a dissolution clause to our bylaws that will be drafted by a subgroup of the Coordinating Team who will consider other additions as well. The subgroup will look at what other groups similar to ours have written into their bylaws and report their recommendations back to us. We would like to include in our bylaws the menu of services the Coordinating Team can provide to action groups, and specifically how we can serve the function of a bank for them.
The subgroup to look into bylaw revision will be Joe, Drew and Phillip.
- Management Document Revision
Per the work done on our recent retreat of 2/7/09, we all agreed to this new wording under “Coordinating Team” in our bylaws:
“There is a Coordinating Team made up of selected members of FCSSC committed to facilitating the work of the larger group: helping all the parts of the whole move forward together. The Coordinating Team fulfills this commitment by maintaining oversight of FCSSC activities to assure that the organization’s efforts remain true to the group’s larger purpose and vision.”
- Next meetings
The next meetings will be on the 1st Tuesday of the month, making the next two meetings March 3 and April 7. We’ll continue to meet upstairs at the Hendrix library at 6 pm. Joe will reserve the room.
April General Membership Meeting
A subgroup of Pamela, Joe, Jean, Drew and Aaron will meet soon to recommend date, time, place and agenda.
Due to time limitations, we did not address agenda items regarding a Speaker’s Bureau or an Editorial Team.

- EcoFest Community Planning Meeting on Monday, February 23 at 7 pm at First United Methodist Church, in the Education Building, Room 222.
- Theology and Energy Conference Feb 20/21 at Hendrix and UCA
- Raised bed building blitz at Bethlehem House on 2/28
- Green Drinks will be March 9, 5:30 to 7:00 at Michelangelo’s

Perhaps our April event could be billed as a kind of Faulkner County Earth Day observance
A pedestrian group has sprung up in Conway and is connecting with FCSSC
Perhaps we could have a booth at Toad Suck Daze. Jean will look into this.
Regarding our movie nights at the library, we’re encouraged to check the license agreements of films that we show. Also, the Story of Stuff was recommended as a short film to share.
